“Timeless Taiwan” is an annual carnival at the University of Washington, celebrating Taiwanese traditions with iconic street food, night market games, and captivating performances, including artist ØZI. Welcoming over 3,000 attendees, the event fosters cultural awareness and inclusivity. This year, we emphasize environmental sustainability by reducing waste, promoting reusable and compostable materials, and managing energy use. With 76 trained volunteers ensuring smooth operations, “Timeless Taiwan” connects communities through culture while embracing eco-friendly practices.

“Timeless Taiwan” is a signature event for upholding Taiwanese traditions and cultures. Every year, we have over 3,000 participants coming to this indoor fair, and we are excited to bring this annual carnival back to campus again. While bringing a welcoming and enjoyable atmosphere to attendees, the events create large amounts of food and container wastes that we try to tackle on this year, and the stage performances also require a large amount of energy consumption for lighting. This year, we envision not only promoting environmental integrity but also showcasing our social responsibility through nurturing and celebrating the richness of diverse cultural heritages or Taiwanese heritage with our officers and guests to enhance cultural consciousness.

Timeless Taiwan aims to heighten cultural awareness in our diverse campus community. The University of Washington is an extremely diverse campus in the greater Seattle area, and “Timeless Taiwan” invites people to celebrate our differences and share new experiences, fostering cultural awareness through a wide variety of Taiwanese food and stunning live performances. Our events can mainly be divided into two parts: 22 diverse vendors of Taiwanese iconic street foods such as popcorn chicken, traditional night market games, and business vendors around the Seattle area. Beyond vendors, Timeless Taiwan provides opportunities for participants to experience the diverse culture of our community through music and captivating performances by hired students, local bands, and Taiwanese singer ØZI. TOSA welcomes participants of all nationalities to get involved and join us to raise cultural sustainability. To successfully succeed our proposed goals in Timeless Taiwan, 76 members including TOSA officers and volunteers are trained at least two weeks before the events and collaborate to maintain smooth operations throughout the events. The training specifies on ensuring the smooth operation of the event as we faced challenges in traffic flow and food supplies. Plus, we emphasizes on people’s awareness of environmental sustainbility through proper recycling during the event. Every member involved in the food team is required to complete the food permit and training process to ensure the safety of our food production. We envision people connecting and sharing their cultural backgrounds through the vendor games at our event. Thus, vendor, performance, and human resources management would require funds to function smoothly and get connected.
 

Beyond cultural sustainability, Timeless Taiwan also aims to promote environmental sustainability through various aspects of our activities to raise awareness of environmental responsibility among all participants involved. First, we encourage people to bring their reusable utensils and plan to replace all food containers such as plates and utensils with recyclable and compostable ones. As some containers are vendor-specific, we will require funds to replace in in- house. Besides food vendors, to promote an eco-friendly environment, we plan to incorporate reusable materials to craft our vendor design and decorations. The fund is needed to obtain reusable and biodegradable materials to reach our expectations. Lastly, we recruited around 30 volunteers for the event, separated into different groups such as food, facility, and trash station monitoring specifically to manage trash flow to reduce improper sorting and cleanup.

Post-CSF funding, "TIMELESS TAIWAN" will transition into a sustainable model, ensuring its continuity and impact. Financially, ticket sales and vendor fee revenue will seed a dedicated fund for future events. Resource-wise, the produced equipment for games and performances would be used for future events. Also, a comprehensive operational manual will be created, detailing organizational processes from vendor coordination to sustainability protocols, ensuring smooth transitions for future teams. Alongside this, we're setting up a solid online presence. A dedicated website and active social media accounts will keep everyone in the loop about "TIMELESS TAIWAN" happenings and will be a space for us to engage with our community, share updates, and spread the word about our sustainability initiatives and cultural celebrations.

Strategically, the project will foster long-term community engagement through strengthened partnerships with local vendors and sustainability organizations, ensuring their ongoing involvement. An ambassador program will also be introduced to promote the event year-round. A dedicated TOSA committee will oversee annual planning, maintaining high standards and sustainability goals. Regular review sessions will refine the event’s sustainability practices, aligning with evolving university standards and cultural advancements. These strategies will enrich the university's cultural fabric and uphold environmental stewardship and community engagement.

"TIMELESS TAIWAN" embodies TOSA's commitment to environmental sustainability and the preservation of Taiwanese culture. Initiated in 2018, this celebration has evolved into a multifaceted experience, combining authentic Taiwanese cuisine, traditional games, and dynamic performances to catalyze a rich cultural exchange that resonates with a diverse audience.

The heart of "TIMELESS TAIWAN" lies in a profound response to community needs. It's a testament to TOSA's innovative approach to nurturing cultural sustainability alongside environmental mindfulness. By thoughtfully weaving eco-friendly practices into traditional Taiwanese festivities, the event elevates its appeal and aligns with broader global goals of promoting diversity while safeguarding our planet.

The inception of "TIMELESS TAIWAN" was informed by the student community's lived experiences, a deep-seated understanding of today's environmental challenges, and a profound respect for diverse cultural identities. This initiative represents a response to these elements, showcasing the potential of cultural events as platforms for environmental stewardship and cultural education. It exemplifies TOSA's commitment to community-led action, the power of cultural traditions in enhancing environmental efforts, and the importance of nurturing a space where cultural heritage and ecological responsibility coexist harmoniously. With "TIMELESS TAIWAN," TOSA sets a precedent, reinforcing UW's dedication to fostering a culturally enriched and environmentally conscious community.

Problem context

"TIMELESS TAIWAN" aligns notably with the UW's Sustainability Action Plan, particularly resonating with the following strategic categories:

I. Double student, staff, and faculty sustainability engagement by 2024:
"TIMELESS TAIWAN" actively engages the university community in sustainability practices. By integrating eco-friendly measures in the event, such as waste reduction initiatives or sustainable sourcing of materials, TOSA contributes to raising awareness and fostering a culture of sustainability among students, staff, and faculty.

VI. 35% of food is from local sources by 2025:
The event prioritizes serving authentic Taiwanese cuisine, which presents an opportunity to source ingredients locally. Collaborating with local suppliers not only supports the regional economy but also aligns with the university's goal of increasing the percentage of food obtained from local sources.

IX. 10% less solid waste by 2025:
Through careful planning and waste management strategies, such as encouraging the use of reusable materials and proper recycling, "TIMELESS TAIWAN" can contribute to reducing the overall solid waste generated during the event, aligning with the university's objective of waste reduction.

Overall, by continuously expanding its sustainability initiatives, TOSA can ensure that "TIMELESS TAIWAN" remains a dynamic force, driving the university's commitment to an environmentally responsible, culturally rich, and socially inclusive future.

Communication tactics and tools

The communication strategy for "Timeless Taiwan" employs a comprehensive approach to maximize awareness and engagement. Active social media, specifically Instagram, features visually compelling content weekly. With the collaboration and invitation of Taiwanese singer OZI to Timeless Taiwan, our PR team creates multiple creative promotion content interacting with OZI such as MV remake and TikTok dance challenges to enhance the visibility of our event and performer. Moreover, we designed a user-friendly Timeless Taiwan website that serves as a central information hub, including all information about the events and offering early-bird voucher purchase discounts. 

Collaborations with student organizations leverage their networks for broader promotion. Additionally, we applied for Graduate and Professional Student Senate (GPSS) fund which enable to broaden our audience to graduate students community. Besides online and media promotions, we hosted a free movie watch party for a signature Taiwanese movie that correlated to the theme of Timeless Taiwan this year, aiming to gain exposure. Eye-catching posters across campus, boothing at Red Square with exclusive wheel spinner games for a voucher discount, and hanging out customized goodie bags with Taiwanese snacks to enhance the exposure of the events. Overall, these multifaceted strategies ensure a vibrant promotion of "Timeless Taiwan," fostering cultural awareness and community involvement among diverse audiences.

Outreach communication plan

In communicating our project's impact to the UW community, we will employ a multifaceted approach. We invited five student-affiliated organizations such as Taiko Drum, Wushu, and dance RSOs that align the same envision of raising cultural integrity in our community with us to perform. The stage performances offer opportunities to gain exposure from diverse audiences attending the events. Also, Timeless Taiwan provides a platform for RSOs to connect, fostering collaborations and future partnerships beyond our event. Besides performances, we provide vendors for six local businesses aiming to strengthen community engagement and development. 

We hope to engage and benefit the entire UW and Seattle community, fostering a culture of collaboration and shared success with local businesses, and offering valuable skill development experiences for other students and RSOs. On the other hand, we plan to conduct reports and dataset on the change we made throughout these years of Timeless Taiwan event as the approach to conduct analysis on our progress to achieve sustainability in our community, enabling both us and attendees to acknowledge the values of the events.

Student involvement

Our event integrates student engagement and professional development through specific roles and educational initiatives. Students can participate as event coordinators or vendor coordinators, gaining practical skills in project management, vendor liaison, and sustainable event planning. Volunteer opportunities also include roles in marketing, where students can hone their skills in digital communication and community outreach. Furthermore, the event is a platform for applied student research, particularly in sustainability and cultural studies. Students can undertake projects assessing the event's environmental impact, exploring effective waste reduction strategies, or analyzing the role of cultural events in promoting community cohesion.
